If you’ve taken any of our tutorials already, you know that ChatGPT is a powerful tool that can perform a host of AI tasks, but there is a big limitation with it—you have to interact with it in a singular chat window.

What if you could take the power of a tool like ChatGPT with you across the web and connect it to all of your apps? That’s what Zapier is offering with its Zapier Central browser extension. It’s a truly effective new AI tool that acts as a web-browsing AI copilot, complete with advanced AI capabilities and automation.

In this tutorial, we’re going to walk through a few sales prospecting workflows using the Zapier Central browser extension, from drafting cold outreach emails based on LinkedIn profiles to adding LinkedIn profile information directly to your CRM while never leaving the LinkedIn platform.

You’ll need:

  • Add the Zapier Central browser extension to Chrome
  • Draft a cold outreach email based on a LinkedIn profile
  • Add data about sales leads on LinkedIn directly to your CRM

Add the Zapier Central browser extension to Chrome

First things first, you’ll need to add the Zapier Central browser extension to your Chrome browser. To do this, navigate to the Zapier Central browser extension page and add it to Chrome.

Once added, you can pin it to your Chrome toolbar for easier access.

💡 Tip: Make sure you have a Zapier account created to use the Zapier Central browser extension. You should be prompted to create an account within the browser extension if you don’t already have one.

Draft a cold outreach email based on a LinkedIn profile

Now that you have the browser extension added, let’s create our first Zapier Central bot. We’re going to create one that can read a LinkedIn profile page, draft a cold outreach email based on a specific product offering, and tailor the pitch to the LinkedIn profile.

To do this, go to Zapier Central in Zapier and click the New Bot button.

💡 Tip: You can create Zapier Central bots directly in the browser extension, but we find it much easier to create them within Zapier directly.

Name the bot by clicking on the name in the top left corner. We’re going to name our bot LinkedIn Outreach Bot. Once you’ve named it, we’ll add our first Behavior. Behaviors are the custom instructions, triggers, and actions we will pre-define to automate our interactions with the bot from the Chrome extension.

To do this, click on the Behaviors button above the message bar.

Now, we can add our custom instructions in the Instructions box. For our bot, we’re instructing it to read through a LinkedIn profile page and draft a cold outreach email based on our product offering.

Sample instructions:

Read through a LinkedIn profile and draft a cold outreach email to the LinkedIn user. It should provide details on my product and relate it to the LinkedIn user's needs and interests.

My product: [Insert product description]

Set the trigger to “When I message the bot,” and set a trigger phrase. Our trigger phrase will be “draft email.”

Finally, make sure to turn the behavior on—via the top right switch—before exiting out of the pop-up window.

💡 Tip: The trigger phrase is what you will message the Zapier Central bot in the Chrome extension experience for it to perform the Behavior.

Now that the Behavior has been added, let’s test it on LinkedIn via the Zapier Central browser extension. To do this, navigate to a LinkedIn profile, click on the Zapier Central browser extension in your browser toolbar, select your newly created bot in the Zapier Central window, and prompt it with the trigger phrase.

The bot will respond to your prompt via a threaded reply. Click into the threaded reply and you will see a cold outreach email drafted for your product offering, customized to the LinkedIn profile you’re currently viewing.

From there, you can prompt Zapier Central to edit the email draft or copy/paste the message to send a LinkedIn DM or outreach email accordingly.

Add data about sales leads on LinkedIn directly to your CRM

Now that we’ve sent an outreach email, we can add the LinkedIn profile data of the lead directly to our CRM. To do this, go back to Zapier Central in Zapier and click the Behaviors button at the bottom of the bot page.

💡 Tip: You can create a new bot for this workflow or use the same bot from the previous step. We’re going to use the same bot so that all of our LinkedIn actions are in the same Zapier Central bot.

For the Instructions, we’ll instruct the bot to pull data from the LinkedIn profile we’re viewing and then add it to our CRM. You do not need to be very detailed here. We will be adding an action later to ensure the data flows to the correct source. The Zapier Central bot can intuit what data to pull based on your CRM fields.

Sample instruction:

Pull data from the LinkedIn profile page and add it to my [Insert CRM destination].

For the trigger, we’ll set it again to “When I message the bot” and set the trigger phrase to “add to CRM.”

Finally, we’ll add an action. This is where we’ll connect our CRM app to the bot, define the action, and provide additional details on where to store the data from LinkedIn. For our bot, we’re sending it to Google Sheets, but this could be any CRM that Zapier integrates with.

💡 Tip: When setting up the action, you can either have Zapier Central’s AI determine where to send the data or you can manually set this yourself. In this example, we manually instructed Zapier Central where to store the data for a bit more control.

This is what the final behavior looks like with all of the components:

Now, let’s navigate back to LinkedIn, go to a profile page, and prompt the Zapier Central browser extension with our new trigger phrase: “add to CRM.”

It will respond in a threaded reply, and for this specific Behavior, it will walk through the steps it took to extract the LinkedIn profile data and add it to your CRM. This is nice because it can help you debug any issues if the data is not scraped and stored correctly.

From there, you can check your CRM to ensure the data was sent and stored correctly. In our case, this is in a Google Spreadsheet. You can see it pulled the prospect Name, LinkedIn URL, and Title—storing all of these in our Google Sheet.

💡 Tip: As mentioned above, we never explicitly told the bot what data to scrape and send to our CRM. It intuited that based on the available fields in our Google Sheet. However, you can be more prescriptive in your bot Instructions to define specific data you’re interested in storing in your CRM.

And that’s it! If you’ve made it this far, you’ve created two separate sales prospecting AI workflows with Zapier Central bots and the browser extension.

There are so many additional things you can do with Zapier Central, so have fun, build some more Zapier Central bots, and let us know what you get up to in the Ben’s Bites community.
